Usage data — pages visited, features used, campaign configuration, and general interaction data with the Service.
Call & conversation data — audio, transcripts, and metadata generated when your AI agents place or receive calls on your behalf (see Section 3).
Device & log data — IP address, browser type, and device identifiers collected automatically.
Information you provide us directly — through support requests, contact forms, or correspondence with our team.

3. Call recordings & AI processing

Because HollrAI's core product places and receives phone calls on behalf of our customers, we process:

Call audio and/or recordings, where enabled by the customer and permitted by applicable law.
Automatically generated transcripts and conversation summaries.
Structured data extracted from calls (e.g. booking details, lead information, support ticket details) as configured by the customer.

Customers using HollrAI are responsible for ensuring they have the appropriate legal basis and, where required, consent from call participants to record and process calls — including complying with any applicable call-recording notification laws in their jurisdiction.

4. How we use your information

We use collected information to:

Provide, operate, and maintain the Service, including running your AI calling agents.
Process payments and manage your minute bundles and billing.
Improve and train the performance of our voice and conversation models.
Send you service updates, security alerts, and administrative messages.
Provide customer support and respond to inquiries.
Detect, prevent, and address fraud, abuse, or technical issues.
Comply with legal obligations.

We do not sell your personal information. We may share information with:

Service providers who help us operate the platform (e.g. cloud hosting, telephony carriers, payment processors).
Integrations you enable — such as Cal.com, Google Calendar, Zapier, Make.com, n8n, Google Sheets, Airtable, or Zendesk — which receive only the data needed to perform the connected workflow you configure.
Legal & compliance — where required to comply with a legal obligation, protect our rights, or respond to lawful requests from public authorities.
Business transfers — in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

6. Data retention

We retain account information for as long as your account is active and as needed to provide the Service. Call recordings and transcripts are retained according to the retention settings configured on your account, or for a default period thereafter, after which they are deleted or anonymized unless a longer retention period is required by law.

We use industry-standard technical and organizational measures — including encryption in transit, access controls, and monitoring — to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Request a copy of your data in a portable format.
Withdraw consent where processing is based on consent.
